Privacy Policy

1. Who We Are

Round The Table is a UK business networking event directory, built and operated by Digivide Limited, a company registered in England and Wales (Companies House: 17113720). For the purposes of UK data protection law, Digivide Limited is the data controller for all personal data collected through this platform.

Digivide Limited is registered with the Information Commissioner’s Office (ICO registration number: ZC163942).

2. What Personal Data We Collect

We collect different data depending on how you use Round The Table.

Attendees (people who browse and RSVP to events)

• Your email address and display name — when you create an account
• Your RSVP records — which events you have registered to attend

Hosts (businesses and organisers who list events)

• Company name, contact name, email address, and phone number
• Website URL, business bio, and area description — as entered during registration
• Event details you create: title, description, venue, date, time, price, and capacity

Event tip submissions

• Organiser name, email address, and phone number — if you choose to provide them
• Event details you submit: venue, area, date, time, and notes
• Tip submissions can be made without an account and without providing contact details

Contact lists uploaded by hosts

A host who already runs a networking group may upload their own contact list, so the people on it can be invited to join Round The Table. Where that happens, we hold:

• Name and email address, and where the host has them, company name, job title and phone number
• Which host uploaded the list, and when
• Whether we have sent an invitation, whether it was delivered, and whether the address bounced or unsubscribed

These details come from the host, not from you. If you receive an invitation from us and did not give us your details, that message tells you which group provided them and how to have them removed. We send one invitation and at most one reminder, never more.

Every message carries an unsubscribe link. Unsubscribing stops all further contact from us permanently — it applies to your address across the whole platform, not just to the host who uploaded you, and it survives any later upload by anyone else.

Technical data

• Authentication session data — stored in cookies by our platform provider (Supabase)
• IP address — processed by Supabase as part of normal database and authentication operations

We do not collect payment information. Round The Table is free to use for both attendees and hosts. Advertising arrangements are handled by direct invoice — no payment details are collected through this platform.

We do not collect sensitive personal data.

3. Legal Basis for Processing

We process your personal data on the following lawful bases:

• Contract performance — to provide your account, process your RSVPs, and manage host listings
• Legitimate interests — to review tip submissions, to contact the organisers of networking groups we have been told about, to invite the members of a host’s existing group to join the platform, and to prevent fraud and operate the platform safely
• Legal obligation — where required by UK law

Where we rely on legitimate interests, we have weighed our interest in building a useful directory against your right to be left alone. You can object at any time and we will stop — by using the unsubscribe link in any message, or by emailing us. You do not have to give a reason, and we will not ask for one.

4. How We Use Your Data

We use your personal data only to:

• Create and manage your account
• Record and display your RSVPs to event hosts
• Review and process host applications
• Display host and event listings on the platform
• Review event tip submissions
• Contact you in relation to your account, RSVP, or host application
• Protect the platform against abuse or fraudulent use

We will never sell your data to third parties, or share it with anyone outside of Digivide without your explicit permission.

If you have an account with us — as an attendee or as a host — we will not use your details for marketing. We contact you about your account, your RSVPs, your events and the reviews you are invited to leave, and nothing else.

Event organisers we have been told about. Anyone can suggest a networking group we are missing, and that suggestion may include the organiser’s contact details. Where it does, we contact that organiser once to ask whether they would like their group listed. That message tells them who we are, that we obtained their details from someone else, and how to have those details deleted. If they ask us to remove them, or simply do not reply, we do not contact them again.

5. Third-Party Services

We use the following third-party services to operate Round The Table:

• Supabase — our database and authentication provider. Personal data (account details, RSVPs, host records) is stored on Supabase's servers in West EU (Ireland). Supabase acts as a data processor under a Data Processing Agreement. See Supabase's Privacy Policy.
• Vercel — our hosting provider. Every request to this site passes through Vercel’s network, which processes your IP address and browser details in order to serve the page. Vercel acts as a data processor under a Data Processing Agreement. See Vercel’s Privacy Policy.
• Resend — our email provider. Every email we send you is delivered through Resend, which processes your email address and records whether the message was delivered or bounced. Resend acts as a data processor under a Data Processing Agreement. See Resend’s Privacy Policy.
• Stripe — our payment provider, used only when a host pays for an event listing. Card payments are taken on Stripe’s own checkout pages: your card number never reaches our servers and we never see or store it. Stripe receives your email address and the payment amount, and tells us only that a payment succeeded. Stripe acts as a data processor under a Data Processing Agreement, and is a controller in its own right for fraud prevention and its own legal obligations. Attendees never pay Round The Table anything, so no attendee data reaches Stripe. See Stripe’s Privacy Policy.
• OpenStreetMap — map tiles on event pages are loaded from OpenStreetMap’s servers. Your IP address is transmitted to the OpenStreetMap Foundation as part of that request. This happens only on pages that display a map. See the OpenStreetMap Foundation’s Privacy Policy.
• postcodes.io — used to geocode UK postcodes and place names for the discover map. No personal data is sent to this service.

Our fonts are served from our own servers, not from Google or any other font provider. No data about you is sent to a font service.

Supabase, Vercel, Resend and Stripe are all US-headquartered. Where personal data is transferred outside the UK, that transfer is covered by the UK International Data Transfer Addendum in our agreement with each provider.

We do not use social media tracking pixels, advertising networks, or any other third-party data collection services.

6. How Long We Keep Your Data

• Attendee accounts — retained while your account is active, and for 12 months after deletion
• RSVP records — retained for 3 years from the date of the event, for legitimate business records
• Host records and event listings — retained while your host account is active, and for 12 months after closure
• Event tip submissions — retained for 6 months or until processed, then deleted
• Contact lists uploaded by hosts — retained for 12 months from upload, or until the person joins, unsubscribes or asks us to delete them, whichever comes first
• Payment and credit records — kept for 6 years from the end of the accounting year, because HMRC requires it of business records. This is the one thing we cannot delete on request. It holds what was paid, when, and which listing it was for. We do not hold your card number at any point — Stripe does.
• Unsubscribe records — kept indefinitely. This is the only data we keep after a deletion request, and we keep it for your benefit: it is the record that stops you being re-added if another host uploads your address later. It holds your email address and nothing else.

How deletion actually works. We review and remove data against the periods above manually. If you ask us to delete your data we will do it within one month, which is the time limit UK GDPR allows us. If you would rather not wait for a review, ask — a request is always faster than the schedule.

7. Cookies

Round The Table uses only essential cookies. These are required for the platform to function and cannot be disabled without breaking core features.

Authentication cookies (Supabase)

When you sign in, Supabase sets session cookies to keep you logged in. These are essential, first-party cookies. They are deleted when you sign out or your session expires. No consent is required for these cookies under UK law as they are strictly necessary.

We do not currently use analytics, advertising, or tracking cookies. If this changes, this policy will be updated and your consent sought where required.

8. Your Rights Under UK GDPR

As a UK resident, you have the following rights regarding your personal data:

• Right of access — request a copy of the data we hold about you
• Right to rectification — ask us to correct inaccurate data
• Right to erasure — ask us to delete your data
• Right to restriction — ask us to limit how we use your data
• Right to data portability — request your data in a machine-readable format
• Right to object — object to processing based on legitimate interests

9. Right to Complain

If you are unhappy with how we have handled your personal data, you have the right to lodge a complaint with the UK's data protection regulator:
